- This manual is prepared in accordance with Section 51 of PAIA and Section 18 of POPIA. It sets out the records held by The Packet Hub (Pty) Ltd (TPH), how requests for access to information may be made, and how personal information is processed and protected.

- As defined in the company’s Privacy Policy: Any information that identifies or can reasonably be used to identify a natural person, including but not limited to:
- First name and last name
- Company name and job title (where linked to an individual)
- Email addresses and phone numbers
- Postal address
- Usernames and account credentials
- Credentials associated with third-party systems linked to a customer’s domain or digital assets (as relative to cybersecurity and dark web monitoring)
- Discovered clear text passwords (from dark web monitoring)
- Asset information linked to an individual, such as computer name and operating system version
- Other Information: Any data that does not on its own directly identify a person, such as
- Browser, Operating system and device information (where not linked to an identifiable individual)
- IP addresses (when used in aggregate or anonymised form).
- Information collected through cookies and other tracking technologies.
- Aggregated and anonymized statistical or demographic data.
- Marketing materials and brochures.

- The Packet Hub will only supply personal information in terms of PAIA and POPIA where the requester is the individual identified in the service records subscribed to. Personal information of third parties will not be disclosed. The types of records available are:
- Name and surname.
- Email address and contact details
- Account identifiers and authentication records
- Service usage logs if applicable and relevant to only the data subject.
- Credentials as discovered on the dark web.
- The Packet Hub retains records and information in terms of legislation including but not limited to:
- Companies Act 71 of 2008.
- Income Tax Act 58 of 1962.
- Labour Relations Act 66 of 1995
- Basic Conditions of Employment Act 75 of 1997
- Electronic Communications and Transactions Act 25 of 2002
- Protection of Personal Information Act 4 of 2013
- Promotion of Access to Information Act 2 of 2000
- Requests for information must be made in writing on the prescribed Form C, available from the Information Regulator’s websitehttps://inforegulator.org.za/.
- Requests must include sufficient detail to enable identification of the record(s) requested, the identity of the requester, the form of access required, and the contact details of the requester. Proof of identity is required. T
- The completed form must be submitted to the Information Officer (see Section 2 of this Manual).
- TPH will respond within 30 days in accordance with PAIA.
- Requesters may be required to pay fees as prescribed by the PAIA regulations:
- A requester seeking access to their own personal information is not required to pay a request fee
- All other requesters are required to pay a request fee (currently R140.00) before the request is processed.
- -If access is granted, an access fee will be payable to cover reproduction and search costs.
- Prescribed Access Fees include:
- R1.10 per A4 photocopy
- R40.00 per CD (electronic record)
- R60.00 per flash drive (if supplied by requester)
- R70.00 per hour (or part thereof) for staff time to search and prepare records
- The applicable fees are determined by the Information Regulator and may change from time to time.
- Access to records may be refused if disclosure would:
- Unreasonably disclose personal information of a third party
- Reveal trade secrets or confidential information
- Endanger the safety of individuals or property
- Breach legal privilege
- If access is refused, requesters may:
- Lodge a complaint with the Information Regulator.
- Apply to a court for appropriate relief.
- The Packet Hub processes personal information as necessary for the performance of its services. Categories include customer information (first name, last name, email address), authentication data (RADIUS credentials), service usage logs (DNS, IP, email filtering), bandwidth consumption, and dark web monitoring data (emails, names, passwords if exposed in clear text, device/asset details).
- Processing purposes:
- To deliver DNS, authentication, and security services.
- To scan and filter email for security purposes.
- To filter DNS traffic for security purposes.
- To authenticate services and account access.
- To monitor and account for data usage.
- To provide dark web monitoring and notify subscribers of exposures.
- Third-party data: The Packet Hub may process personal information of individuals who are not direct customers but whose data is linked to a subscriber’s domain (e.g. example@gmail.com exposed in a breach affecting myportal.com). Such data is only processed for the purpose of notifying the subscriber. It is not used or disclosed otherwise.
- Security safeguards include encryption, access controls, DNS/email filtering, firewalls, and monitoring. Personal information is retained only as long as necessary and securely destroyed or anonymised thereafter.
